Information We Collect

Depending on how you interact with us, we collect different personal data:

Offer requests on our website

When you submit an offer request, we collect:

Name — to personalize our communication with you

Email address — to send you the offer and communicate about your inquiry

Phone number (including country dialling code) — to contact you if needed regarding your request

Stay details — arrival and departure dates, number of adults and children, ages of children, number of rooms, and room preferences

Preferences — whether you are travelling with a dog and whether you would like breakfast

Billing address (optional) — street, house number, postal code, city, and country, if you choose to provide them for eventual invoicing purposes

Optional message — any additional information you choose to share about your inquiry

Offer request data is collected solely to prepare and send you a personalized accommodation offer. We also use limited browser storage for site functionality and, if you consent, Google Analytics on our public website.

Online check-in

When you complete online check-in at checkin.skivital.eu before your stay, we collect:

Booking lookup — your booking or reservation number and last name to identify your reservation (and, if check-in is not yet available, your email address so we can notify you when it opens)

Guest details — for each person staying: first name, last name, date of birth, nationality, identity document type, and document number

Contact and address (primary guest) — email address, phone number, country of residence, postcode, city, and street address

Transport details — how you plan to arrive (car, motorbike, bicycle, or public transport), and where applicable the number of vehicles, license plate numbers, and whether you are arriving with a trailer. We use this only internally to plan parking and identify which vehicle belongs to your party; it is not forwarded to third parties

Digital signature — to confirm that your registration details are correct and that you accept our house rules

Tourist tax — your payment choice (online or in the apartment) and, if you pay online, payment status through our payment provider

We use this information to prepare your stay, fulfill Austrian guest registration and reporting obligations, and collect tourist tax where applicable. Guest registration details (names, dates of birth, nationality, identity documents, and primary guest contact and address) are stored in our reservation system and transferred to Deskline, the official guest registration platform used in our region, as required by law. Transport details remain in our reservation system for operational use only. Your signature is stored securely with Cloudinary. Online tourist tax payments are processed by Mollie.

Purpose and Legal Basis

Your data is used only to respond to your inquiry or process your booking.

Art. 6(1)(b) GDPR – performance of a contract (bookings)

Art. 6(1)(c) GDPR – legal obligation (tax and registration)

Art. 6(1)(f) GDPR – legitimate interest (customer service)

Art. 6(1)(a) GDPR – consent (marketing, optional)

Data Retention

We keep your personal data only as long as necessary to respond to your inquiry or fulfill your booking and legal obligations. Booking records may be stored for up to 7 years in accordance with Austrian tax law.

Data Sharing

We do not sell your personal data. We share information only where necessary to operate our services and meet legal obligations:

Deskline — guest registration details (identity and contact information) that must be reported under Austrian law; transport and parking information is not shared

Mollie — processing of online tourist tax and other card payments

Cloudinary — secure storage of check-in signatures and website media files

Hosting and database providers — to operate our website, reservation system, and check-in portal under GDPR-compliant agreements

Cookies and Tracking

We use limited browser storage on our public sites for functional purposes, such as remembering language preferences and supporting parts of the online check-in experience.

On skivital.eu, we also use Google Analytics only if you actively consent through our cookie banner. Analytics is optional and can be refused without affecting the essential use of the site.

You can revisit and change your analytics choice at any time using the Cookie Settings button shown on the public site.

Your Rights

You have the right to access, correct, delete, or restrict processing of your data, object to processing, and lodge a complaint with the Austrian Data Protection Authority (www.dsb.gv.at).
